To send a large video through email, either shrink it under the 25 MB attachment limit or send a link instead of the file. For clips of a few minutes, compressing to about 24 MB in the free compress video for email tool keeps the video playable right in the message; for long recordings, a Google Drive or OneDrive link is the better choice.
This guide shows both ways, explains how much video fits in 25 MB, and covers the settings that keep a small file looking sharp. You will know which route to take for your clip before you open your inbox.
What is the email attachment limit for videos?
Gmail and Outlook.com both cap an email at about 25 MB. In Gmail the limit counts all attachments together, and anything bigger is turned into a Google Drive link. Outlook.com counts the whole message, text and images included, so aim for a video of 24 MB or less to leave room.
| Email service | Limit per message | What happens above it |
|---|---|---|
| Gmail | 25 MB of attachments in total | Gmail adds a Google Drive link instead |
| Outlook.com | 25 MB for the whole email | You can attach a OneDrive link instead |
Microsoft explains the Outlook.com limit and the OneDrive option in its help article on attachment problems in Outlook.com. Work and school accounts can have different limits set by their administrator, so a file that sends from your personal account may still bounce at a company address.
How to compress a video for email (step by step)
Compressing a video for email means re-encoding it at a lower bitrate so the whole file fits under the limit. The tool works out that bitrate from your target size and the video's length, so you only pick the size.
- Open compress video for email. The 25 MB email target is already selected.
- Drop your video onto the page. MP4, MOV, WebM and MKV files work, including videos straight from a phone.
- Leave the target at 25 MB, or type a smaller number such as 20 MB for a stricter work mailbox.
- If the clip is long, choose a lower resolution (1080p, 720p, 480p or 360p). The tool suggests one when the target is very small.
- Tick Remove audio if the sound does not matter. That frees the audio bitrate for the picture.
- Click Compress video, check the new size, and download the MP4.
- Attach the file to your email as usual.
The video is processed by your own device's video encoder inside the browser, so it is never uploaded. A one minute 1080p clip usually takes well under a minute on a recent laptop or phone.
How much video fits in 25 MB?
A 25 MB email limit fits roughly two to three minutes of clear 720p video, about five minutes at 480p, and around ten minutes only at a low 360p. The longer the clip, the lower the bitrate per second, so resolution has to drop to keep the picture clean.
The tool aims a little under your target (it keeps 6% headroom for the file container) and reserves 96 kbps for audio. That leaves roughly this much for the picture:
| Clip length | Video bitrate in 25 MB | What usually looks good |
|---|---|---|
| 1 minute | about 3.2 Mbps | 1080p |
| 2 minutes | about 1.5 Mbps | 720p |
| 5 minutes | about 560 kbps | 480p |
| 10 minutes | about 230 kbps | 360p, or remove the audio |
These are guides, not guarantees: a talking head on a plain wall compresses far better than a football match or a walk through a busy street. If the tool says the target is too small for the video's length, pick a lower resolution, remove the audio or trim the video first.
Can you send a video longer than 10 minutes by email?
Yes, but not as an attachment if you want it to look good. Above about ten minutes, 25 MB leaves too few bits per second for a watchable picture, so share a link instead. Upload the video to Google Drive, OneDrive or another cloud service and paste the share link into the email.
A link has two advantages: the recipient gets the original quality, and the email stays small enough to arrive in every inbox. Gmail even does this for you when you attach a file over 25 MB. The trade-off is that the video does not play inside the message and the recipient needs access to the link, so check the sharing setting before you send.
Compress, trim or send a link: which is best?
Choose by length and by who receives it. Compress short clips that should play straight from the email, trim when only part of the video matters, and send a link for long recordings or when quality is important.
| Your situation | Best option |
|---|---|
| Clip under 3 minutes, recipient should watch it in the email | Compress to 24 MB |
| Only a short part of a long video matters | Trim the video, then compress |
| Screen recording or interview where sound is not needed | Compress with Remove audio |
| Recording longer than 10 minutes | Share a Google Drive or OneDrive link |
| Full quality matters (editing, printing frames) | Share a link to the original |
| A few seconds of looping action | Turn it into a GIF with the GIF maker |
Tips for a small video that still looks sharp
- Lower the resolution instead of starving the bitrate. At a small target, 480p with enough bits looks cleaner than 1080p with too few.
- Trim the dead time. Seconds of nothing at the start and end still cost bits; cut them before you compress.
- Remove sound you do not need. For silent screen recordings, mute the video or tick Remove audio while compressing.
- Keep the target a little under the limit. 24 MB is safer than 25 MB because the email body and encoding also take space.
- Send MP4. The compressor saves H.264 video with AAC audio in an MP4 file, which plays on phones, Windows and Mac without extra apps.
Why your compressed video is still too big or will not send
- The result is not smaller than the original. The video was already well compressed. Pick a lower resolution, or set a smaller target size.
- The email still bounces. Your company mailbox may have a lower limit than 25 MB. Try 10 MB, or send a link.
- The video has no sound after compressing. Some browsers cannot re-encode certain audio formats; the tool tells you when it had to save the video without sound. Try another browser, or share a link to the original.
- The recipient cannot open it. Make sure you downloaded the MP4 and attached that file, not a shortcut to the original.
Other sizes for other apps
The same compressor has presets for other places with file limits. Use compress video for Discord for the 18 MB target that fits Discord's free upload limit, or the general video compressor to pick 16 MB for WhatsApp, 50 MB, or any size you type. Our guides on compressing video for WhatsApp and for Discord cover those apps in detail.
Send your video now
Drop your clip into the free compress video for email tool, keep the 25 MB target, and attach the MP4 in a minute. If the clip is long, share a cloud link instead and keep the original quality.
Frequently asked questions
What is the maximum video size I can email?
About 25 MB in Gmail and Outlook.com. Gmail counts all attachments together and turns anything larger into a Google Drive link; Outlook.com counts the whole message. Work accounts can have a lower limit.
How do I compress a video to send by email?
Open a compressor with a 25 MB target, drop the video in, lower the resolution for long clips and download the MP4. The WoowTools compressor does this in your browser without uploading the video.
How long a video can I send in 25 MB?
Roughly two to three minutes at 720p, about five minutes at 480p and around ten minutes at 360p. Simple scenes compress better than busy ones, so a clip may fit at a higher resolution than these figures.
How do I send a video that is too big for email?
Upload it to Google Drive, OneDrive or another cloud service and paste the share link into your email. The recipient gets the original quality, and you avoid the attachment limit completely.
Does compressing a video reduce its quality?
Yes, a little: fitting a video into fewer megabytes means fewer details per second. Lowering the resolution and removing unneeded audio keeps the result looking clean at small sizes.
